TradeTale Privacy Policy

1. About TradeTale

TradeTale is operated by the developer of the TradeTale application in the United Kingdom. TradeTale helps tradespeople record jobs, maintain customer and job history, attach photos, use voice or typed input, synchronise permitted data, and create customer-facing job summary links.

2. Information we collect

Depending on how you use TradeTale, we may process:

Account information

  • mobile telephone number
  • account email where supplied or verified
  • account identifiers

Business profile

  • business name
  • trade type
  • business contact information
  • business logo
  • optional public business information

Customer and job information you enter

  • customer names
  • addresses
  • job descriptions
  • dates
  • amounts and payment information
  • durations
  • private notes
  • other job details you enter

Photos

  • job photographs you select or capture

Voice

  • microphone audio is used when you choose voice capture; speech recognition converts speech into text for use as job notes
  • TradeTale does not permanently store raw microphone audio as part of normal voice-note capture; the resulting text is what is kept with the job record

Technical and service information

  • authentication and session information
  • sync state
  • timestamps
  • diagnostic and security information used to operate the service

3. How information is used

We use information to:

  • authenticate users
  • provide the job journal
  • synchronise data across permitted devices
  • process user-requested AI parsing or drafting
  • store and display job photos
  • generate customer-facing Share pages
  • send authentication, security, and transactional communications
  • secure and operate the service
  • diagnose product issues

We do not use personal data for advertising, and we do not sell personal data.

4. Voice and speech recognition

TradeTale requests Microphone and Speech Recognition permissions only when you choose voice functionality. On iOS, speech recognition may involve Apple’s speech-recognition services in accordance with Apple’s own terms and privacy practices. The resulting text may then be processed by TradeTale in the same way as typed job notes. TradeTale does not use the microphone to access unrelated recordings on your device.

5. AI processing

Where AI-assisted parsing or drafting is used, relevant job text may be sent securely to an AI service provider so that TradeTale can structure or improve job information. Users review and edit job information before final use where applicable. Private notes are not automatically published to customer Share pages.

The current AI provider used for these features is OpenAI. Provider processing is subject to that provider’s terms and privacy practices; this policy does not restate contractual retention guarantees beyond what is needed to deliver the requested feature.

6. Cloud and service providers

TradeTale uses carefully selected service providers to deliver the product. Current providers may include:

  • Supabase — authentication, database, storage, and backend functions
  • Twilio — SMS and phone verification
  • Resend — transactional email
  • OpenAI — AI processing where used
  • Cloudflare — DNS, the public website, and customer Share proxy infrastructure
  • Apple — the iOS platform and Speech Recognition functionality

These providers process information only as needed to deliver their relevant service, subject to their own terms and privacy obligations.

7. Local and cloud data

TradeTale is designed with a local-first approach. Some application data is stored locally on your device. Where cloud sync or cloud access is enabled, or where cloud functionality is necessary, relevant records may also be stored in TradeTale’s cloud backend.

Customer-facing Share snapshots necessarily require selected information to be uploaded so that a public Share page can be created. Private notes are not publicly shared by default.

8. Customer Share links

When a trader deliberately creates a customer-facing Share link, selected job and business information becomes accessible to anyone who possesses that specific Share URL. These links are token-based public URLs; they are not authenticated private portals. Private trader notes are not included by default. Share links should be sent only to intended recipients.

9. Data retention

Account and job data is retained while needed to provide the service. Local data remains on the device until removed through app or device actions. Cloud data may persist until deleted according to product or account-deletion processes. Transactional and security records may need to be retained for legitimate operational or legal purposes.

10. Account and data deletion

You may request deletion of your TradeTale account and associated personal data by contacting privacy@tradetale.co.uk. An in-app account-deletion flow is being provided where required by platform rules.

11. Security

TradeTale uses reasonable technical and organisational safeguards appropriate to the service. No method of transmission or storage is completely risk-free, and we cannot guarantee absolute security.

12. Children

TradeTale is intended for people using it for trade or business activities and is not directed to children.

13. International processing

Service providers may process information in countries outside your home country. Where that happens, processing is subject to the provider’s applicable terms and privacy safeguards.

14. User rights

Depending on applicable law, UK users may have rights to access, correction, deletion, restriction, objection, and data portability. To exercise these rights, contact privacy@tradetale.co.uk. You may also have the right to complain to the relevant data-protection authority, including the UK Information Commissioner’s Office where applicable.

15. Changes to this policy

This policy may be updated as TradeTale evolves. When it changes, the effective date at the top of this page will be updated.
